Refund & Cancellation Policy

At LinearGrid Event Management, we strive to deliver exceptional event planning and management services. This Refund & Cancellation Policy outlines the terms applicable to bookings, event services, digital services, and related purchases.

By confirming a booking or making a payment, you agree to this policy.

1. General Policy

Due to the nature of event planning and customized services, many costs are incurred before the event takes place. Refunds are therefore subject to the terms outlined below.

2. Booking Confirmation

A booking is considered confirmed once:

  • A signed quotation or agreement is received; and/or
  • A deposit or full payment has been successfully processed.

Once confirmed, the Company reserves the required resources, personnel, venues, equipment, and vendors for your event.

3. Cancellation by Client

More than 30 Days Before the Event

    • Cancellation requests must be submitted in writing.
    • Refunds may be approved after deducting:
      • Administrative fees
      • Payment gateway charges
      • Third-party costs already incurred
      • Non-recoverable expenses

15–30 Days Before the Event

Clients may be eligible for a partial refund of up to 50% of the amount paid, subject to deductions for work completed and expenses already committed.

Less than 15 Days Before the Event

No refund will be provided due to operational commitments, vendor reservations, staffing allocations, and production preparations.

Event Day or No-Show

No refund will be issued if:

  • The client fails to attend;
  • The event is abandoned by the client;
  • Participants do not arrive;
  • Access to the venue is denied due to client-related reasons.
4. Rescheduling

Clients may request to reschedule an event subject to:

  • Team availability;
  • Venue availability;
  • Vendor availability.

Rescheduling requests should be submitted at least 14 days before the event date.

Additional charges may apply if the revised event scope, location, or requirements differ from the original booking.

5. Company Cancellation

If LinearGrid Event Management is unable to provide the agreed services due to circumstances within our control:

Clients may choose one of the following:

  • Full refund of payments made; or
  • Rescheduling to a mutually agreed date; or
  • Credit toward future services.
6. Force Majeure

No refunds shall be automatically granted for cancellations or interruptions caused by events beyond our reasonable control, including but not limited to:

  • Natural disasters
  • Floods
  • Fire
  • Pandemic or public health emergencies
  • Government restrictions
  • Civil unrest
  • Power failures
  • Internet outages
  • Severe weather conditions

Where possible, we will work with the client to reschedule the event or provide alternative solutions.

7. Third-Party Vendors

Certain services involve third-party providers such as:

  • Hotels
  • Event venues
  • Caterers
  • Production suppliers
  • Equipment rental companies
  • Photographers
  • Entertainment providers

Refunds relating to these services are subject to the respective vendor’s cancellation policies.

LinearGrid Event Management is not responsible for non-refundable costs imposed by third-party suppliers.

8. Digital Services & Creative Work

The following services are non-refundable once work has commenced:

  • Event branding and design
  • Website development
  • Registration system setup
  • Ticketing platform configuration
  • Graphic design
  • Social media content
  • Marketing materials
  • Digital advertising campaigns
  • Photography and videography editing
9. Event Registration Fees

Where LinearGrid Event Management acts as the event organizer or registration platform provider:

Registration fees are generally non-refundable unless:

  • The event is cancelled by the organizer;
  • The organizer specifically approves a refund;
  • Required by applicable law.

Service fees, processing fees, and payment gateway charges may be deducted from approved refunds.

10. Payment Gateway Charges

Refund amounts may exclude:

  • Credit/debit card processing fees
  • Online banking transaction fees
  • E-wallet charges
  • Currency conversion fees
  • Administrative charges

where such fees are non-recoverable.

11. Refund Processing Time

Approved refunds will typically be processed within 14–30 business days, depending on:

  • Banking institutions;
  • Payment gateways;
  • Financial processing schedules.

The Company is not responsible for delays caused by financial institutions or payment service providers.

12. Return Policy

As our business primarily provides professional event management and customized services, physical product returns are generally not applicable.

If physical items supplied by LinearGrid Event Management are:

  • damaged,
  • defective, or
  • incorrectly delivered,

please notify us within 7 calendar days of receipt with supporting photographs or documentation.

Eligible claims may result in:

  • Replacement of the item;
  • Repair;
  • Credit note; or
  • Refund at the Company’s discretion.
13. Refund Request Procedure

To request a refund, please provide:

  • Full name
  • Company or organization (if applicable)
  • Booking or quotation reference number
  • Event name
  • Payment receipt
  • Reason for cancellation or refund request
  • Supporting documents (if applicable)

Requests will be reviewed individually in accordance with this policy.
